Build Your Own AI Assistant and Workflow Tools

Overview

This hands-on class will equip you with the skills to design and build practical AI assistants and simple AI-powered tools tailored to your own needs, or those of your team or department. You will learn what is possible, how to adapt these “building blocks” across platforms and teams, and how to have informed discussions with your IT department if you wish to replicate or scale these solutions within your organisation.

During the class, you will have dedicated time to apply what you learn straight away. Over the course of the 4-hour session, you will spend around one hour building your own first AI assistant or workflow tool using platforms such as ChatGPT, Claude, Gemini, or Zapier. After this individual build time, the group will come back together on Zoom to present their tools, explain how they built them, and discuss any questions, difficulties, or ideas that came up during the process. This gives participants the opportunity to learn not only from the trainer, but also from each other’s use cases and approaches.

Even if you do not yet have a specific idea for an AI tool, the course will help you identify workflow tasks where AI can genuinely reduce repetitive work and help standardise common outputs.

What you will learn

  • Identify tasks in your workflows that are well suited to AI, and recognise when AI is not the right solution
  • Design and build a simple AI assistant or chatbot for a specific work task
  • Create reusable prompts and tool building blocks to standardise repetitive outputs such as drafts, rewrites, structured notes, and summaries
  • Build simple AI-enabled automations or agents for tasks such as routing, summarising, drafting, and notifications using accessible no-code tools

Who is it for

  • Non-Technical, AI-curious professionals, individuals and teams who already use AI occasionally and now want to integrate it into everyday workflows in a structured, reliable way.

Tools used during the class

  • ChatGPT (GPTs)
  • Google Gemini (Gems) - a Google account is required
  • Zapier (free plan) – to demonstrate simple AI-enabled automations/agents

Please note: to get the most from the exercises, we recommend having a paid subscription to either ChatGPT, Google Gemini or Claude. Without access to one of these paid tools, you may not be able to take part fully in some of the hands-on activities, although you will still be able to follow along using Zapier or free Google tools where applicable
